About RateCalc.io
RateCalc.io is a rate-quoting platform built specifically for UK recruitment agencies. It replaces the spreadsheet + Word + e-signature + email chain that most agencies use today with one tool that goes from rate inputs to a signed Terms of Business in under five minutes.
It's built by recruiters, for recruiters. After years of building rate proposals by hand and paying e-signature platforms premium prices per contract, we wanted a single tool that handled both. Branded to your business, with complete control over what your team is sending out. See our story.
A standard rate calculator shows you the gap between cost of employment and bill rate and calls that a margin. RateCalc.io shows you what’s actually left once your invoice finance is layered in against the debtor days your client is asking for. On a 90-day-terms quote that’s typically a 30 to 40 percent difference. The number you make decisions on is your real margin, not a surface estimate. Then it sends, tracks and signs the Terms of Business too, so you’re not bouncing between three tools.
Three things. First, on-costs are baked in: holiday at 12.07%, employer NI, apprenticeship levy and pension auto-enrol, so the maths matches what HMRC expects. Second, every proposal lands in your client's inbox as a branded, trackable web page. Third, once accepted, a single click converts the rates into a signable Terms of Business. On top of that you get the true-margin contrast on every saved quote, which a spreadsheet would only show you if you wired in invoice finance and debtor days yourself.
No. RateCalc.io is for quoting rates and getting them signed. It hands the agreed rates over to your payroll / invoicing system once the client has signed.

Getting set up
About 10 minutes for a working agency profile: logo, brand colours, on-cost defaults, default rebate schedule. Most agencies send their first proposal within an hour.
No. Upload your own ToB as a .docx and we'll parse it into editable sections: payment terms, transfer fees, rebate schedule, all the standard clauses. You can also start from our standard template if you don't have one yet.
No. The agency owner sets the on-cost stack, brand, default rates and Terms of Business once. From that point a consultant builds a quote in three steps: pick the role, type the pay rate, send. Most consultants are sending their first real quote inside ten minutes. There’s nothing to learn beyond what they already do in a spreadsheet today.
Yes, and the multi-consultant analytics are one of the reasons agency owners pick the Team / Agency tiers. Each consultant gets their own login; every quote attributes back to them; the owner sees a consolidated leaderboard with acceptance rate, average margin and the payment terms each consultant is letting clients push out. Team and Agency plans support multiple seats; Starter and Solo are single-seat.
CRM integrations are on the roadmap, and Xero is already live. For now you can copy a client's details into a new proposal in seconds, and we keep every proposal+contract searchable inside RateCalc so it's rarely worth round-tripping to the CRM. See integrations.
Sectors & rate logic
Driving, healthcare, industrial, construction and hospitality come pre-loaded, each with its roles, shifts and on-costs ready to quote. The rate engine is sector-agnostic, so any temp role with on-costs is supported; sector-specific templates are what we add as we go.
AWR is handled inside the rate calc as standard. IR35 / umbrella scenarios are supported but vary by client. Happy to walk you through your specific case during onboarding.
Yes. Each agency has a default on-cost stack (configured once), and you can override any percentage on a per-proposal basis. Margin is shown live as you build, so you can spot a slip before the proposal goes out.
Data & security
In the EU. We use Supabase for our primary store, with your data held in the EU, and Resend for transactional email. Both are GDPR-compliant. Our privacy policy lists every service that handles your data.
Yes. Export your proposals and ToBs as PDFs any time, and request a full account deletion via your billing settings. Read more in our privacy policy.
The e-signature flow captures the signer's name, role, signature image, IP address, browser user-agent and timestamp. That meets the UK's Electronic Communications Act 2000 evidentiary standard. As with any e-sign solution, a tribunal will still want to see your wider record of negotiations; RateCalc keeps that thread intact.
